K-Nine Pros — Privacy Policy

This Privacy Policy explains how K-Nine Pros LLC, a California limited liability company with its principal place of business in Placerville, California (“K-Nine Pros,” “we,” “us,” or “our”), collects, uses, shares, and protects personal information in connection with the K-Nine Pros platform at kninepros.com (the “Platform”). This Policy is incorporated into the Terms of Service (Document A-001).
This Policy applies to professional dog trainers, dog owners, the staff members trainers authorize, evaluators, contributors, and visitors to the Platform. By using the Platform, you acknowledge this Policy. K-Nine Pros voluntarily extends the rights described in Section 9 to California residents, and to all of our Users where practical, regardless of whether a particular law applies to K-Nine Pros at this time.
1. Our Role; Trainers as Independent Businesses
1.1 K-Nine Pros provides software to professional dog trainers to operate their businesses. When K-Nine Pros handles personal information for its own purposes — for example, account registration, billing, and operating the Platform — K-Nine Pros acts as the business responsible for that information.
1.2 When a trainer uses the Platform to manage the trainer’s own clients and leads (for example, a dog owner’s contact details that a trainer enters or collects), the trainer determines how that information is used in the trainer’s business. The trainer is responsible for that information and for providing any privacy notices the trainer’s own clients require. K-Nine Pros processes that information to provide the Platform to the trainer.
2. Information We Collect
We collect the following categories of personal information:
Identifiers and contact information — name, email address, phone number, business name, username, and similar identifiers.
Account and authentication information — login credentials (passwords are stored in hashed form), and, if you sign in with Google, your Google account identifier and tokens (stored encrypted).
Customer and commercial information — subscription tier, purchase and billing records, and payment identifiers processed by our payment processor (we do not store full payment card numbers).
Business operations data — information you enter to run your business, including client and lead records, dog profiles, appointments, evaluations, notes, documents, and messages.
Communications content — the content, recipients, and delivery status of email and text messages you send or receive through the Platform, and call and lead information where you use call-tracking features.
Media — images and files you upload, such as logos, profile pictures, and photos.
AI inputs and output — the prompts and context you submit to the Platform’s AI features and the output generated in response.
Internet and device activity — IP address, browser and device information, log data, and usage activity within the Platform (including within the Command Center), collected to operate, secure, and improve the Platform.
Approximate location — coarse location derived from IP address.
Professional information — for trainers, business and professional details such as services, specialties, and self-reported credentials.
Inferences — information generated by the Platform’s features, including AI-generated summaries and analyses.
3. How We Collect Information
3.1 Directly from you — when you register, set up your account, enter business data, upload files, send messages, make a purchase, or contact support.
3.2 Automatically — through your use of the Platform, including log data, IP address, device information, and in-product usage activity, collected through standard server logs and first-party product analytics within the Platform (including the Command Center).
3.3 From third parties — for example, from Google when you choose to sign in with Google or connect your calendar, from our payment processor regarding the status of a payment, and from integrations you connect.
4. How We Use Information
We use personal information to:
Provide, operate, and maintain the Platform and your account.
Process payments and manage subscriptions.
Enable the features you use, including messaging, scheduling, evaluations, document signing, and AI features.
Secure the Platform, prevent fraud and abuse, and enforce our terms.
Provide support and respond to your requests.
Analyze usage and improve and develop the Platform.
Send you service, security, and transactional communications, and, where permitted, product updates you can opt out of.
Comply with legal obligations.
AI and your data: K-Nine Pros uses your data to operate, secure, support, and improve the Platform. We do NOT sell your personal information, and we do NOT use your business data to train artificial-intelligence models for use outside your own account, except in aggregated or de-identified form that does not identify you or any individual. Our AI features are provided through third-party AI providers under terms that do not permit those providers to train their models on our customers’ data except as those terms allow.
5. AI Features and Your Information
5.1 The Platform’s AI features send the inputs and context you provide to a third-party AI provider to generate output, which is returned to you within the Platform. You control what you submit to the AI features.
5.2 AI output is advisory only and may be inaccurate. You are responsible for reviewing AI output before relying on it, as described in the Terms of Service and the AI Disclosure Policy. AI features are not a substitute for professional advice, including veterinary advice.
5.3 We do not use your business data to train AI models for use outside your account, except in aggregated or de-identified form as described in Section 4.
6. How We Share Information
6.1 We do not sell your personal information, and we do not share your personal information for cross-context behavioral advertising.
6.2 We share personal information with service providers (also called subprocessors) that perform functions on our behalf, and only as needed to provide the Platform. These providers are bound by contractual obligations to protect personal information and to use it only to provide their services to us. The categories of service providers we use, and representative providers in each category, include the following:

This list reflects the Platform as currently built and is provided by way of example; it may not be exhaustive and will be updated as service providers are added, activated, or changed. Some providers above are activated only when you use the related feature or connect the related integration.
6.3 We also share personal information: at your direction (for example, when you connect an integration or send a message); with the trainer whose client or lead you are, where you interact with a trainer through the Platform; to comply with law, legal process, or lawful requests; to protect the rights, safety, and property of K-Nine Pros, our Users, or others; and in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
6.4 We do not share the content of your business data with other Users except as you direct through the Platform’s features (for example, posting to the Community or displaying your trainer profile in the Directory).
7. Community and Directory
7.1 If you post content in the Community or maintain a profile in the Directory, the information you choose to make available there may be visible to other Users or to the public. Do not post information you do not want to be visible. Trainer profile information, including self-reported credentials and specialties, is provided by trainers and displayed as provided.
8. Data Retention, Security, and Deletion
8.1 Retention. We retain personal information for as long as your account is active and as needed to provide the Platform, and afterward as needed to comply with legal obligations, resolve disputes, and enforce our agreements.
8.2 Security. We employ commercially reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption of data in transit, encryption of data at rest, hashing of passwords, encryption of stored third-party access tokens, access controls, and logical separation of each customer’s data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8.3 Deletion. When your account is closed, we will make your business data available for export for thirty (30) days, and after that window we will delete your business data from the active Platform, except for copies retained in routine backups (which are overwritten on our regular backup cycle) and except as required by law.
9. Your Privacy Rights (California and All Users)
K-Nine Pros voluntarily extends the following rights to California residents under the California Consumer Privacy Act, as amended (CCPA/CPRA), and offers them to all Users where practical:
Right to know — to request the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties to whom we disclose it.
Right to delete — to request that we delete personal information we collected from you, subject to legal exceptions.
Right to correct — to request that we correct inaccurate personal information.
Right to opt out of sale or sharing — we do not sell personal information and do not share it for cross-context behavioral advertising, so there is nothing to opt out of; we honor this right by our practice.
Right to limit use of sensitive personal information — we do not use sensitive personal information for purposes that require this option.
Right to non-discrimination — we will not discriminate against you for exercising your rights.
9.1 How to exercise your rights. You may submit a request through the Platform’s in-application support system or by email to privacy@kninepros.com. We will verify your request, typically by confirming control of your account or email, before acting on it. You may use an authorized agent where permitted by law. We will respond within the timeframes required by applicable law.
9.2 Trainer-held data. If your information is held by a trainer who uses the Platform to manage that trainer’s own clients, direct your request to that trainer, who is responsible for that information. We will reasonably assist trainers in responding to such requests.
10. Children’s Privacy
10.1 The Platform is intended only for users who are at least eighteen (18) years old. We do not knowingly collect personal information from anyone under eighteen (18). A minor may appear on or benefit from the Platform only under the account and supervision of a parent or legal guardian who is the registered User. If we learn that we have collected personal information from a person under eighteen (18) outside of that arrangement, we will delete it. The Platform collects information about dogs; information about a dog is not personal information of a child.
11. Other Information
11.1 U.S.-based service. The Platform is operated in the United States and is intended for users in the United States. If you access the Platform from outside the United States, you understand that your information will be processed in the United States.
11.2 Cookies and similar technologies. We use cookies and similar technologies that are necessary to operate the Platform (for example, to keep you signed in) and for first-party analytics to understand and improve how the Platform is used. We do not use third-party advertising cookies and do not permit third parties to track you across other websites for advertising through the Platform.
11.3 Do Not Track. Because we do not track Users across third-party websites for advertising, we do not respond differently to “Do Not Track” signals.
12. Changes to This Policy; Contact
12.1 Changes. We may update this Policy from time to time. We will post the updated Policy with a new effective date and, for material changes, provide notice through the Platform or by email.
12.2 Contact.
